To add an Internet e-mail account to your Exchange profile, follow the instructions here for your version of Outlook:
- Start Outlook. On the File menu, click Add Account.
- Public mail providers (Yahoo, AOL, Gmail, Hotmail, etc.) would configure your account automatically once you enter your Display Name, Email Address and Password. Otherwise, proceed with manual set up using the settings your provider has given you.
- Start Outlook. On the Tools menu, select Account Settings.
- Select the E-Mail tab and click New.
- Select Microsoft Exchange, POP3, IMAP or HTTP and click Next.
- Check the option Manually configure account settings or additional server types and click Next.
- In the Server Type window, select Internet E-mail and click Next.
- Enter the required information in the E-mail Accounts window, using the following guidelines:
- User Information
- Your Name: This should be your full name.
- E-mail Address: Your ISP provides this information. For example, your e-mail address might be a combination of your first and last name and the name of your ISP, separated by the at sign (@) and periods (such as JohnDoe@myispnet.net).
- Logon Information
- User Name: This is usually the part of your e-mail address to the left of the at sign (@).
- Password: You select your password.
You may check the box to have Outlook remember your e-mail account password.
- Server Information
Enter the server names in lower case in both Incoming e-mail server and Outgoing e-mail server. The names may be in the form of mail.myisp.net, or they could be in the form of an IP address such as 184.108.40.206.
- Incoming e-mail server (POP3): This is the name of the POP3 server that holds your messages before you download them to your computer.
- Outgoing e-mail server (SMTP): This is the name of the Outgoing e-mail server.
- User Information
- Click Test Account Settings. The following occurs when you click Test Account Settings:
- The connectivity of your system to the Internet is confirmed.
- You are logged on to the SMTP server.
- You are logged on to the POP3/IMAP server.
- It is determined whether the POP3/IMAP server needs to be logged on to first. If necessary, Outlook automatically sets Log on to incoming mail server before messages are sent.
- A test message is sent. This message explains any changes that Outlook made to your initial setup.
- Click More Settings. This opens the Internet E-mail Settings window, where you may further modify your Internet e-mail account. You may want to check the Leave a copy of messages on server option (on the Advanced tab) to keep messages on the server so you can access them from another computer.
Note: You can also verify your new account is saving to the proper location. If it is going to the same location as your Exchange profile (i.e. .ost file) all the email will be merged into your Exchange inbox. If it is going to a .pst file it will create its own mailbox folder. Click Data Files in Account settings to check.
- Click File > Log Off and exit Outlook. Restart Outlook to apply changes.
