This article describes the process of creating and editing Email Signatures in Outlook and Outlook Web App (OWA).

Outlook on Windows

  1. Open the Outlook application and click on New Email
  2. When a New Email window pop-up, navigate to Signature > Signatures
  3. Under Select signature to edit field, click on New
  4. Type in the name for the signature and click on OK
  5. Once a signature is created, you may edit it in the field below and set as a default for New Emails and/or Replies and Forwards

Windows

Outlook on Mac

  1. Open the Outlook application and navigate to Outlook > Preferences
  2. In the Outlook Preferences window click on Signatures
  3. Double-click on a default signature "Untitled" to edit it or click on "+" to create a new one
  4. Enter the signature name, add text and images if needed
  5. Close the editor window
  6. Set the signature as a default for New messages and/or Replies and Forwards

Mac

OWA 2013

In Outlook Web App you may have only one signature.

  1. On the navigation pane click on the Gear icon > Options > Settings
  2. Type-in a desired text and add hyperlinks if needed
  3. If the signature should be applied automatically to emails you send, check Automatically include my signature on messages I send checkbox
  4. Save the changes

OWA13

OWA 2016/2019

In Outlook Web App you may have only one signature.

  1. On the navigation pane click on the Gear icon > Options > Email Signature
  2. Type-in a desired text, insert a picture and hyperlinks if needed
  3. If the signature should be applied automatically to emails you send, check Automatically include my signature on new messages I compose and/or Automatically include my signature on messages I forward or reply to checkboxes
  4. Save the changes

OWA16

OWA for POP/IMAP mailboxes (Roundcube)

  1. On the navigation pane click on Settings > Identities > select your mailbox > Signature
  2. Enable HTML signature if you need to add hyperlinks and/or pictures and create a signature
  3. Click on Save

  1. To adjust Signature settings, navigate to Settings > Composing Messages > Signature Options
  2. Save the changes
