This article describes the delivery of encrypted messages to the recipients when Policy-based Web Portal Encryption is enabled for the account. To find out more about Policy-based Encryption, please read the Knowledge Base article Getting Started With Policy-Based Encryption.

Note: the messages stored in Encryption Web Portal will only be available for 30 days.

When the email is sent from our server and Policy-based Encryption is triggered, the recipient can view and reply to the encrypted email using Encryption Web Portal in their web browser. When the recipient replies to an encrypted message, through the website interface, the message is sent using an encrypted connection to our Exchange servers. Exchange servers decrypt the email so that the Intermedia recipient won't need to use the Encryption Web Portal to read the email, but instead can read it using Outlook or Outlook Web App. And when a desktop Outlook application connects to Intermedia Exchange server to view email it uses a TLS-encrypted connection, so the message cannot be intercepted by a third party.

  • If the recipient has never received encrypted messages before:

    1. User with Policy-based Encryption enabled sends a message. If one of the policies is applied, the recipient will get the message with an activation URL:
    2. After clicking Create your account and read your message link the recipient needs to fill out the Activation Information and create the password for Encryption Web Portal. Password requirements:
      Must have at least 14 characters;
      Must contain at least one lower case character;
      Must contain at least one upper case character;
      Must contain at least one number [0-9];
      Must contain at least one special character (!@#$%^&*).

      Note: By default policy, the password expiration period is 60 days. If you need this changed, contact Support.

    3. After that, the recipient will need to choose three Challenge questions that will be used for password recovery in case the recipient forgets it. Choosing those questions is mandatory. Additionally, the recipient can provide the alternative email address which will be used for password recovery but this is not mandatory.
    4. After clicking Activate the recipient is prompted to sign in with the credentials that were just created. Once logged in, the recipient can view the messages. Click on the message to view it:

  • If the recipient has received encrypted messages before:

    1. User with Policy-based Encryption enabled sends a message. If one of the policies is applied, the recipient gets a message with a link to access Encryption Web Portal:

      Note: if the recipient forgets their password, they can click Forgot your password? to start the password recovery procedure.
