The Credentials Management page is used to manage credentials for decryption and encryption. When messages are being sent through the Encrypted Mail Gateway for encryption/decryption, it will first check for credentials that have been uploaded to the Credentials Management page. This page can also be used to manage Web Portal user accounts.

To access the Credential Management page:

  1. In the CONTROL PANEL log in to your EMG account.
  2. On the Homepage click Email Encryption or navigate Services > Compliance > Encrypted Email and click Encrypted Mail Gateway.
  3. On the Homepage of the Encrypted Mail Gateway click Manage Credentials.

The Credentials Management page is divided in two tabs:

PDF Passwords

On this page, you can see an obfuscated list of all PDF Password values for a specific user. You can view the list by entering their email address into the Email field and clicking Search. An obfuscated list of all PDF Passwords for the specified user will be displayed.

The following options will be available to manage the PDF Password values:

  • Expire - this option allows you to manually expire a PDF user's current PDF password. You might use this to switch a user from PDF to Web delivery or to force the user to choose a new PDF password for their next PDF message. Note: the user will receive a recovery notification.
  • Reset - this option allows you to reset a PDF user's recovery information if they have forgotten their recovery information. Note: the user will receive a recovery notification.
  • Delete - this option allows you to delete a PDF user's password history from the Encrypted Mail Gateway database. This will permanently remove the email address and all associated PDF Passwords.

    Important:If a user requests to be deleted, they should be advised to save a copy of their PDF Password history beforehand. When you delete a PDF user, that user's password history is gone forever and cannot be recovered.

  • Migrate Keys - this option allows you to move a specific user's PDF Password history to a new email address. In order to migrate PDF password history:
    • On the Credentials Management page, in the PDF Passwords section, search for a user and click Migrate Keys
    • In the new dialog box enter the user's old and new email addresses > click OK. The old email address' PDF Password history wil be assigned to the new email address.
  • Change Locale - this option allows you to change the user's selected locale.

Web Portal

Note: the Web Portal tab is available if the Web Delivery channel is enabled for the profile.

The Web Portal tab allows administrators to manage users or specific question/answer messages.

Managing Users

To manage users follow these steps:

  1. In the Email field, enter an email address or the first character(s) of an email address.
  2. Select User Accounts in the User Type drop-down list > Click Search.
  3. A list of all available user accounts(email addresses) that match the defined string will be displayed below the search fields.
  4. Depending on the user status, the following action buttons will be available to you: View, Delete, Reset or Unlock the user.

Managing Question/Answer Messages

The Question/Answer Messages option from the User Type drop-down list allows administrators to search and view specific Question/Answer messages that are used for Q & A based email authentication. The messages can also be deleted using the Delete button from the Actions column.

To manage Question/Answer messages:

  1. In the Email field, enter an email address or the first character(s) of an email address.
  2. Select Question/Answer Messages in the User Type drop-down list > Click Search.
