The Mailbox Auto-Mapping feature in Exchange 2010/2013 allows Outlook 2007 (SP2), Outlook 2010 and Outlook 2013 clients to automatically assign mailboxes to specific users and grant them Full Access permissions.

Note: A special DNS record must be configured for your domain in order for you to take advantage of the Mailbox Auto-Mapping feature.
Please read the Knowledge Base article on What Is An Autodiscover Record And Why Do I Need It? for more information.

To allow other mailboxes to be auto-mapped to Outlook profile:

  1. Log in to CONTROL PANEL and grant a user Full Access permissions to the other mailboxes.
Read the Knowledge Base article on How Do I Enable Send As Or Full Access Permissions On Exchange Account? for more information.
  2. Restart Outlook client.

It may take several minutes for shared mailboxes to appear in the Navigation Pane:

Recommendations:

  • If a user has Full Access to several mailboxes, it is recommended to uncheck Download Shared Folders option. To do this open Outlook and navigate to File > Account Settings > Account Settings > Double-click on the Exchange mailbox > More settings > Advanced tab. Otherwise, OST file may become corrupted.

  • If a user does not want other mailboxes to be auto-mapped to Outlook profile, Full Access should be granted to a Distribution List. The user needs to be a member of this Distribution List.
